Free jewelry repair tracker (Excel and Google Sheets)
Repairs are where small shops lose money and customers: an envelope in the wrong drawer, a promised date nobody checked, a customer who was never called. This free sheet gives you one place for all of it.

Free to copy, edit and share. No sign-up. Works in Excel and Google Sheets.
What is in it
- Repairs tab: job number, date in, customer, phone, item, work needed, quote, deposit, balance (automatic), promised date, status and a "called?" column.
- Color rules: red = promised date passed and not picked up; yellow = ready but customer not called yet; grey = picked up.
- Memo (out) tab: pieces that left the case on memo or consignment, value out, return-by date and status.
A simple repair routine that works
- Write a job number on the envelope and on the sheet at the moment the piece comes in. Never "I'll log it later".
- Always record a promised date, even a rough one. Without it, nothing turns red.
- Take a photo of the piece on intake for condition and liability. Note stones and loose prongs on the slip.
- When the work is done, change the status and call. Tick "Called?" so the yellow clears.
- Check the red rows every morning. Those customers are waiting on you.
When to move from a sheet to an app
If you want a repair slip as a PDF with photos, an automatic "your repair is ready" WhatsApp message, and the repair linked to the customer's balance, an app does it in a tap. See also the free inventory spreadsheet.

Frequently asked questions
How do I keep track of jewelry repairs?
Log every job on arrival with customer, phone, item, work needed, quote, deposit and promised date, then update the status and mark when the customer was called. A shared sheet or a repair-tracking app both work; the key is one place and a ready-not-called-yet list.
Is there a free jewelry repair intake form template?
Yes, download the free sheet on this page. It includes a repairs tab and a memo and consignment tab.
What should a repair slip include?
Job number, date in, customer name and phone, item description (metal, stones, size), work needed, quote, deposit, promised date, and a signed acknowledgement of condition and liability limits.
