Free jewelry inventory spreadsheet (Excel and Google Sheets)

By Emre, Pulad Labs · Updated 2026-10-16

A spreadsheet is a fine way to start tracking jewelry stock. This one is built for jewelry, not generic goods: it knows about karat, grams, stones and certificate numbers, and it does the margin and stock-value math for you.

Download the spreadsheet (.xlsx)

Free to copy, edit and share. No sign-up. Works in Excel, Google Sheets, LibreOffice and Numbers.

What is inside

How to use it in five minutes

  1. Open the file and read the "How to use" tab. Delete the four sample rows.
  2. Give every piece a SKU and write it on the tag. Photograph the piece and keep photos in a folder named by SKU.
  3. Enter karat and weight in grams. Karat to purity: 24k = 1.000, 22k = .916, 18k = .750, 14k = .585, 10k = .417, 9k = .375.
  4. Do a monthly cycle count: pick one case, count it, correct the quantity.

Where a spreadsheet stops working

Spreadsheets are great for stock. They get awkward when you also need sales receipts, a customer's balance, layaway payments, repair jobs with photos, and reminders in one place, or when more than one person edits at the same time. That is the point where a jewelry store app saves you time. Our jewelry store software guide lists what to look for.

Want this done for you?
